Before buying another CRM, look at the client and business-development features already available in your Applicant Tracking System. If it can run the process below cleanly, use it. Another platform is only useful if it fixes a genuine gap.
Start with a small pipeline
A practical starting point might be Prospect → Contacted → Conversation → Opportunity → Proposal/Terms → Won/Lost. Change it to match how your agency really sells rather than copying somebody else’s template.
Make the next action compulsory
Every live employer opportunity should have an owner and a next action. That one habit is more useful than filling the CRM with information nobody uses.
Track useful information
Keep the data that helps someone take the next step.

- Roles or hiring areas discussed
- Last meaningful contact
- Next action and date
- Potential value or priority
- How the lead found you
Review it every week
Use a short pipeline review to find stalled opportunities, overdue follow-ups and accounts that need attention. The CRM should make the meeting quicker — not create another meeting to maintain the CRM.

Whether this workflow lives in HubSpot, Pipedrive or your existing ATS matters less than having one clear system that the team actually uses.
